Now, with staffing shortages at destinations and venues (hotels, convention centers, offsite spaces) and among planners—and cities and spaces booked solidly (or steadily) from postponed and new meetings—there is pressure to rush the selection process to ensure the dates, spaces and conditions we need. But what is left unasked at the start can lead to chaos in the contracting and planning processes.

Basics—rates, dates and space—are often the only things covered in limited and some electronic RFPs. Thus those items and the desire for the “best” concessions are too often the only focus. But having limited information doesn’t reveal distinctions needed for meetings and groups. Unasked questions and lack of thorough information on websites can lead to planning errors at best or lawsuits resulting from contractual errors or harm to participants at worst!
