Fairmont Hotels & Resorts is one portfolio of properties that is practiced in the art of serving buyout clients. The following are Fairmont tips for “elevating private meetings to the next level.”

  • Enjoy the Exclusivity. Privacy is the key incentive to booking an entire hotel because the atmosphere allows guests to roam free and enhances team-building experiences when other guests are nowhere to be found. The Fairmont Southampton in Bermuda arranges exclusive use of one of the nearby golf courses, and will organize shotgun tournaments for groups. The Fairmont Royal Pavilion in Barbados will arrange morning yoga sessions on the Garden Lawn or private beach.

  • Take Advantage of Unique Venues. Some locations—like a lobby—in a hotel might be off limits when leisure guests are in house, but buyouts can take advantage of the space to expand. At Fairmont Le Chateau Montebello in Quebec, a log- cabin-styled resort with a six-sided fireplace in the lobby provides an out of the ordinary background for a dinner or cocktail hour. The Fairmont St. Andrews in New Brunswick can do group functions in The Atrium, a long skylight space that’s normally off limits to groups, but available to buyouts.

  • Use Sister Hotels. If your group is too large to fit into one hotel, check out destinations with nearby sister hotels that can streamline transportation between two properties—and your budget. Increased dining and function space is also a benefit. Using sister hotels removes the need for separate sales contracts.

  • Create Complete Branding. With buyouts, you have the option to brand amenities and function space like never before. Project the company’s logo onto a lobby wall or shine it into the night sky for added wow. Fly the company colors on the flagpole and post banners and other signage throughout conference facilities, things not normally allowed when multiple groups are in residence.

  • Buy low and shoulder. Availability and pricing will typically be more in your favor, and could be at the low end of the range. Costs are usually also better for air transportation during low and shoulder seasons.
