Meeting planners who have felt the impact of natural disasters on their events say having a contingency plan is no longer optional—it's a must.

For association meeting planners, often charged with large annual events that are major revenue producers for their organizations, the need to react quickly and put a plan B into place may be even greater than it is for their corporate counterparts.

Tips for Contingency Planning

Industry consultant, trainer and speaker Tyra W. Hilliard, an associate professor at the University of Alabama, teaches meetings contingency planning at industry events. Some preparedness measures she recommends include the following:

  • Include crisis management as part of the organization's strategic meetings management program.
  • Form a crisis management external advisory committee, including people from outside the organization (e.g., meeting destination and facility representatives, attorney, insurance representative, law enforcement, etc.).
  • Create a written crisis management plan for each meeting.
  • Form a crisis management team, including long-term and event-specific internal personnel as indicated by the threat and vulnerability assessment.

  • Shelborne South Beach’s 5,000-square-foot ballroom recently underwent a redesign. The renovated ballroom, which was once home to the Miss Universe and Miss USA pageants, is a component of the hotel’s current multimillion-dollar facelift and 70th anniversary celebration. The ballroom can be subdivided into two separate rooms or combined into one large area that can accommodate up to 700 people reception-style. The property’s meeting rooms, located in the hotel’s lobby mezzanine and conference level, also were upgraded. When completed this fall, the upgraded property will feature 200 new hotel rooms, 20 suites, nine executive poolside bi-level townhouse suites, multiple mezzanine lanai suites and a penthouse suite.
