Destination and Site Selection: The Basics and Deeper Dives

Selecting destinations and sites for meetings and events is one of the most important aspects meeting and event planners and their employers and clients face. From the cost of travel to the destination to venues’ charges and ability to fulfil the specific meeting and event needs, it is the planner’s responsibility to perform due diligence that addresses myriad factors and help guide organizations to well-considered decisions. 

Will your choice result in an accessible and accommodating event? Will a venue’s meeting and public spaces and staffing meet an event’s specificity of needs? In what ways is sustainability a factor in your choices? Will the destination itself or events that may occur at the same time complement or distract the participants? If there are exhibits, what is the capacity and what are the regulations that impact exhibitors? 

While these are more commonly recognized concerns, they are a fraction of what you’ll ultimately need to know to select and contract for the meeting or event. Planners must also monitor local, regional and national news to learn about changing tax and other laws, infrastructure, airline lift, staffing, climate, safety and security considerations that can impact the recommendation for the ultimate decision-maker.
